Displays & Exhibits Procedures

The Pikes Peak Library District (PPLD) Board of Trustees Policies include Section 1.3 Displays and Exhibits, outlining the Chief Executive Officer’s (CEO) authorization to manage Displays and Exhibits available at all PPLD locations, and the criteria that must be met.

Administrative Procedures

  1. Art and Resource Exhibits Criteria

    1. Appropriateness of subject, technique, and style for audiences of all ages
    2. Appropriateness to special events, Library programs, anniversaries, holidays, etc.
    3. Historical or regional relevance
    4. Opportunity to promote the use of the Library and Library services
    5. Contributor’s record of previous exhibits
    6. Potential interest of viewers and the public
    7. Recency of previous Library exhibits by the same artist, lender, or organization
    8. Recency of previous Library exhibits of similar items or topics
    9. Encouragement of community dialogue
    10. Commercial exhibits will not be selected
  2. Art and Resource Exhibits Procedures

    1. Exhibits include items presented in any of the galleries or display cases throughout PPLD.
    2. PPLD staff develop exhibits relevant to PPLD priorities such as programs, resources, etc.
    3. Local artists submit this online Art Exhibit Application.
    4. An internal Library committee reviews and approves items submitted for display.  The committee also selects and schedules displays from PPLD offerings and community submissions.
    5. PPLD reserves the right to make final selection of what is exhibited.
    6. PPLD reserves the right to discontinue or reschedule exhibits or displays at any time.
    7. PPLD does not necessarily endorse the views expressed in the exhibits.
    8. Anyone exhibiting in the Library must sign and adhere to the Exhibitor Agreement or our online terms of agreement.
    9. Some art galleries are contained in meeting rooms, and access to the art may be affected by meeting room use.
    10. Displayed art may be available for purchase outside the Library.
    11. PPLD is not responsible for loss, damage, or theft of display or exhibit materials. The Library has limited theft and damage insurance for exhibited materials.
    12. PPLD will not store, transport, or install any artwork associated with exhibits.
    13. Patrons may request that an exhibit be reconsidered by submitting a Request for Reconsideration to the library location’s manager.  No items will be sequestered to control access during the review process.  After review, a written response from the CEO will be sent to communicate the decision, and the reason for it, to the patron who initiated the request for reconsideration.
  3. Physical and Digital Material Displays Criteria and Procedures

    1. PPLD determines the criteria for physical and digital (PPLD’s online Catalog) displays and internally reviews the list of topics on an annual basis.
    2. Displays are a merchandising tool to make the collection more visible, presenting books and resources in an appealing way that increases checkouts and use of PPLD resources.
    3. Material displays must reflect neutrality.
    4. Designated staff select the topics and materials for the displays.
    5. Displays will be in place for a period of time that is determined by the staff assigned to maintenance and coordination of displays.
