Reserve a Room
Pikes Peak Library District (PPLD) offers reservable event spaces, as well as meeting and study rooms, for public use at many of our Library locations. These spaces are intended to support educational, informational, cultural, and civic activities for the El Paso County community.
Patrons using Library facilities are expected to comply with PPLD’s Code of Conduct and Solicitation Procedures to help ensure a welcoming and respectful environment for all.

Rules & Regulations
- Event, meeting, and study rooms may not be reserved for programs or gatherings which present a clear and present danger to the welfare of the participants, Library staff, patrons, or the community.
- Use of Library rooms is free of charge with a PPLD Library Card.
- Providing inaccurate information can lead to cancellation of reservation.
- PPLD does not authorize the use of its event, meeting, or study rooms for the purpose of solicitation, to include petition-signing; electioneering; campaigning; fundraising; the sale of goods or services; or other similar activities.
- Patrons are responsible for cleaning and removing anything brought into the room.
- Patrons are expected to respect Library property, including not damaging rooms and/or equipment.
- Reservations must take place during normal Library operating hours, with the exception of Fountain and Manitou Springs libraries which allow meetings outside of regular library hours.
- Patrons will not be admitted to the facility before it is open to the public, nor be allowed to remain in the facility after it is closed to the public.
- When making your reservation, please include the time you need to setup and teardown for your meeting in the reservation start and end times. Certain rooms may have default setup and teardown time for staff use only. Rooms must be vacated by the end of the reservation time.
- PPLD does not provide technical support. Patrons may reserve a room in advance or schedule a meeting with PPLD staff to test available audio/visual equipment.
- The contact person on the reservation form must be present for the reservation and shall be the only person authorized to make changes and cancellations to a reservation.
- Patrons or organizations will be held responsible for the actions of the participants and their adherence to all guidelines set forth in this policy and all Library policies.
- No person or group may assign its reservation to another person or group.
- Organizations may not use the name, address, telephone number, or images of the Library, except for notifying attendees of the location of the meeting. PPLD’s logo or location photos cannot be used.
Types of Rooms
Study rooms are simple spaces without built-in technology, such as computers, projectors, sound systems, etc.
- Reservations may be made by patrons aged 13 and older.
- Reservations cannot be made more than one week in advance.
- Reservations for study rooms are limited to a maximum of two hours per day.
- Study room must be in use 15 minutes after the reserved start time or the Library may make the room available to other patrons.
- Only one study room can be reserved per day per branch.
- The study rooms should be left as they are found. All groups must provide their own support for preparation and reasonable clean-up.
- Rooms can be reserved from 15 minutes after the facility opens to 15 minutes prior to closing.
Meeting rooms are spaces that may have technology available, like computers, projectors, sound systems, etc.
- Reservations may be made by patrons 18 years or older.
- Reservations may be made up to three months in advance.
- Reservations for meeting rooms are limited to one reservation per week per room.
- Meeting rooms must be in use at least 15 minutes after the reserved meeting start time or the Library may make the room available to other patrons.
- Patrons reserving the meeting room are responsible for their own setup.
- The meeting rooms should be left as they were found. All groups must provide their own support for preparation and reasonable clean-up.
- Rooms can be reserved from 15 minutes after the facility opens to 15 minutes prior to closing.
- Online reservations must be made three days in advance. In person and phone reservations may be made at any time.
Meeting Room reservation requests are subject to review and approval by Library staff. Please allow up to seven days for processing.
Event rooms have a larger capacity and can be used to host events. These rooms require set-up by PPLD staff.
- Reservations may be made by patrons 18 years or older.
- Reservations may be made six months in advance and must be made at least three days before the reservation date.
- Event rooms must be in use at least 15 minutes after the reserved meeting start time or the Library may make the room available to other patrons.
- Reservations for event rooms are limited to 12 reservations in a six-month period per Library location.
- Event rooms require set-up by PPLD personnel and must have 72 hours advance notice.
- Rooms can be reserved from 30 minutes after the facility opens to 30 minutes prior to closing to allow time for staff set-up and teardown.

Event Room reservation requests are subject to review and approval by Library staff. Please allow up to seven days for processing.
Cancellations
To cancel your reservation, you can either call our reference phone line at (719) 531-6333, x7900, or click the cancellation link in your email confirmation for your reservation.
- Cancellations will only be accepted from the contact person.
- The Library reserves the right to cancel any meeting or reservation due to unforeseen circumstances, such as building or weather-related emergencies.
- The Library reserves the right to stop meetings that are disruptive to normal Library operations or other programming events.
- Cancellations and changes should be made as soon as possible to make the space available for other patrons.
